Terms & Conditions
TIMELINE TRAVEL
Terms & Conditions
Your Journey. Our Commitment.
Welcome to Timeline Travel. We believe that great journeys begin with trust, clear communication and exceptional service.
These Terms & Conditions are designed to explain, in straightforward language, the conditions that apply when you book travel services with Timeline Travel.
By requesting, confirming or paying for a booking with Timeline Travel, you acknowledge that you have read, understood and accepted these Terms & Conditions, together with any specific conditions provided in your quotation, invoice, itinerary or by the relevant travel supplier.
1. ABOUT TIMELINE TRAVEL
Timeline Travel provides travel planning, reservations, tours, safaris, accommodation, transfers, transportation, excursions and other travel-related services.
Throughout these Terms:
“Timeline Travel”, “we”, “us” or “our” means Timeline Travel.
“Traveller”, “Client”, “you” or “your” means the person making a booking and, where applicable, all travellers included in that booking.
“Supplier” means any third party involved in providing part of your travel arrangements, including airlines, hotels, lodges, tour operators, transport companies, activity providers, car-rental businesses and other travel-service providers.
2. OUR ROLE
Timeline Travel carefully selects and coordinates travel services to create memorable and convenient travel experiences.
Certain services included in your booking may, however, be provided by independent third-party suppliers.
Where Timeline Travel acts as an intermediary or booking agent, the relevant supplier remains responsible for delivering its particular service and its own booking conditions may also apply.
We will always make reasonable efforts to assist our clients if an issue arises with a supplier before or during their journey.
3. BOOKING YOUR JOURNEY
A booking is considered confirmed once:
Timeline Travel has confirmed the booking in writing;
the required deposit or full payment has been received; and
any additional information or documentation requested from the traveller has been supplied.
Availability is not guaranteed until confirmation has been issued.
Submitting an enquiry or receiving a quotation does not automatically constitute a confirmed reservation.
4. QUOTATIONS & PRICING
Unless otherwise stated, quotations are based on availability and pricing available at the time they are issued.
Travel prices can change because of factors including:
airline fare changes;
accommodation availability;
supplier rate changes;
exchange-rate fluctuations;
fuel surcharges;
airport or government taxes;
conservation, park or tourism levies; and
changes requested by the traveller.
Timeline Travel will advise you of material price changes before final confirmation where reasonably possible.
Once travel services have been fully paid and confirmed, any subsequent adjustment will be dealt with according to the applicable supplier conditions and South African law.
5. DEPOSITS & PAYMENT
The deposit required to secure a booking will be stated in your quotation or invoice.
Different suppliers may impose different deposit and payment requirements.
Unless otherwise stated:
deposits must be paid by the deadline shown on the quotation or invoice;
the outstanding balance must be settled by the stated due date; and
bookings made close to the departure date may require immediate full payment.
Failure to make payment by the specified deadline may result in cancellation of the booking or release of reserved flights, accommodation, activities or other services.
Timeline Travel will not be responsible for availability or price increases resulting from late payment.
6. CANCELLATIONS BY THE TRAVELLER
We understand that travel plans sometimes change.
Cancellation requests should be submitted to Timeline Travel in writing as soon as possible.
Any cancellation charge will depend on factors such as:
the services booked;
how far in advance the booking is cancelled;
costs already incurred by Timeline Travel;
the cancellation conditions imposed by suppliers; and
applicable consumer-protection legislation.
Some airline tickets, promotional fares, accommodation rates, special-event bookings and travel packages may be partially or completely non-refundable according to supplier conditions.
Where a refund is due, Timeline Travel will process it once the relevant funds have been received or released by the supplier, subject to any lawful fees or deductions.
7. CHANGES TO A BOOKING
If you would like to change your:
travel date;
accommodation;
passenger details;
flights;
transfers;
destination;
activities; or
itinerary,
please contact Timeline Travel as soon as possible.
We will make reasonable efforts to accommodate your request.
Changes remain subject to availability and may result in additional supplier charges, fare differences or administrative costs.
Certain bookings, particularly airline tickets, may not permit changes.
8. CANCELLATIONS OR CHANGES BY SUPPLIERS
Travel arrangements can occasionally be affected by circumstances outside Timeline Travel’s reasonable control.
These may include schedule changes, airline cancellations, weather conditions, road closures, industrial action, government restrictions, natural disasters, security situations or other unforeseen events.
If a significant change occurs, Timeline Travel will make reasonable efforts to:
inform you promptly;
communicate available alternatives;
assist with rebooking where possible; and
facilitate any refund or travel credit available under the supplier’s conditions.
Any refund, replacement service or credit offered by a third-party supplier remains subject to that supplier’s applicable terms and policies.
9. FLIGHTS
Airline tickets are subject to the airline’s own fare rules and conditions of carriage.
Travellers are responsible for checking:
passenger names and details before tickets are issued;
flight dates and times;
baggage allowances;
check-in requirements;
terminal information; and
any schedule updates before travelling.
Names supplied to Timeline Travel must correspond exactly with the traveller’s passport or recognised identification document.
Errors may result in additional charges or the need to purchase a new ticket.
10. PASSPORTS, VISAS & TRAVEL DOCUMENTS
It is the traveller’s responsibility to ensure that all necessary travel documents are valid and obtained before departure.
Depending on the destination, these may include:
passports;
visas;
identification documents;
permits;
vaccination certificates;
parental-consent documentation;
travel authorisations; and
other immigration documents.
Entry requirements may change.
Travellers should verify requirements with the appropriate embassy, consulate, immigration authority or other official source before travelling.
Timeline Travel may assist with general travel information but cannot guarantee that any traveller will be granted a visa, permitted to board a flight or admitted into a country.
11. HEALTH & TRAVEL REQUIREMENTS
Travellers are responsible for ensuring that they are medically and physically able to participate in their chosen journey.
Certain destinations or activities may require vaccinations, preventative medication or specific levels of mobility or fitness.
Clients should obtain appropriate medical advice where necessary before travelling.
12. TRAVEL INSURANCE
Timeline Travel strongly recommends comprehensive travel insurance.
Depending on your journey, suitable insurance may include cover for:
trip cancellation or interruption;
emergency medical treatment;
medical evacuation;
lost or delayed baggage;
missed connections;
flight disruption;
personal liability; and
other unexpected travel expenses.
Travellers are responsible for understanding the benefits, exclusions and limitations of their chosen insurance policy.
13. SAFARIS, TOURS & ACTIVITIES
Travel, particularly safari and adventure travel, may involve inherent risks associated with wildlife, road travel, weather, terrain and outdoor activities.
Wildlife sightings cannot be guaranteed.
Itineraries may occasionally need to change because of weather, wildlife movements, road conditions, operational requirements or circumstances affecting traveller safety.
Timeline Travel and its suppliers will make reasonable efforts to provide the experience described in the confirmed itinerary.
14. TRANSFERS & TRANSPORTATION
Travellers must provide accurate flight, hotel and collection information for transfers.
Waiting periods, late-arrival procedures and missed-transfer conditions may vary according to the transport service booked.
Where a flight is delayed or changed, travellers should inform Timeline Travel or the relevant transfer provider as soon as reasonably possible.
Timeline Travel will make reasonable efforts to assist with alternative arrangements where required.
15. ACCOMMODATION
Accommodation descriptions, facilities, photographs and star ratings are intended to provide a reasonable representation of the property.
Standards and rating systems vary between countries and destinations.
Room configurations, views, facilities and amenities may also change.
Special requests such as adjoining rooms, particular views, bedding arrangements or early check-in will be forwarded to the relevant property but cannot be guaranteed unless specifically confirmed.
16. WHAT IS INCLUDED
Your quotation and confirmed itinerary will specify exactly what is included in your travel package.
Services not specifically identified as included should be regarded as excluded.
Depending on the package, exclusions may include:
passports and visa fees;
travel insurance;
optional excursions;
certain meals and beverages;
gratuities;
personal purchases;
excess baggage charges;
additional transfers;
laundry;
medical costs; and
other personal expenses.
17. SPECIAL REQUESTS
We are happy to communicate reasonable special requests to our suppliers, including dietary requirements, accessibility requirements or room preferences.
Special requests are subject to supplier availability and cannot be guaranteed unless confirmed in writing.
Please advise Timeline Travel of any important requirements as early as possible.
18. CHILDREN & MINORS
Adults travelling with children are responsible for ensuring that all documentation required for minors is available and valid.
Airlines, immigration authorities and destinations may impose additional requirements for children travelling with one parent, guardians or persons other than their biological parents.
19. RESPONSIBLE TRAVEL
Timeline Travel encourages travellers to respect:
local communities;
cultural traditions;
wildlife;
guides and hospitality staff;
protected areas; and
the natural environment.
Travellers must comply with applicable laws, lodge rules, park regulations and reasonable instructions from guides or service providers.
Serious misconduct or behaviour that places other travellers, staff, communities, wildlife or property at risk may result in removal from an activity or tour.
20. FORCE MAJEURE & EVENTS BEYOND OUR CONTROL
Timeline Travel will not be responsible for failure or delay caused by extraordinary circumstances outside our reasonable control.
These may include, without limitation:
severe weather;
floods, fires or natural disasters;
epidemics or pandemics;
war or civil unrest;
terrorism or security incidents;
government actions or restrictions;
strikes;
airport closures;
air-traffic restrictions;
border closures; or
major transportation disruptions.
Where such an event occurs, Timeline Travel will make reasonable efforts to assist clients with alternatives available from the relevant suppliers.
21. CUSTOMER CARE & COMPLAINTS
Your satisfaction is important to Timeline Travel.
If you encounter a problem during your journey, please notify Timeline Travel and the relevant supplier as soon as reasonably possible so that we have an opportunity to assist.
If the matter is not resolved during your trip, please submit your complaint in writing with your booking reference and supporting information.
Email: info@timelinetravel.co.za
We will review legitimate complaints fairly and endeavour to respond within a reasonable period.
22. PERSONAL INFORMATION & PRIVACY
Timeline Travel respects your privacy.
We may collect and process personal information necessary to:
respond to travel enquiries;
create quotations;
make and manage reservations;
issue travel documents;
process payments;
communicate changes;
provide customer support; and
comply with legal or regulatory obligations.
Where necessary to complete your booking, relevant personal information may be shared with airlines, hotels, tour operators, transfer companies, payment providers and other travel suppliers.
Timeline Travel will process personal information in accordance with applicable South African data-protection legislation, including the Protection of Personal Information Act (POPIA), and our Privacy Policy.
23. WEBSITE CONTENT & IMAGES
Timeline Travel makes reasonable efforts to ensure that website information is accurate and current.
Travel information, rates, schedules, photographs and descriptions may nevertheless change.
Destination and accommodation photographs are illustrative and actual experiences, views, vehicles, rooms, wildlife sightings and weather conditions may differ.
All Timeline Travel branding, original website content, designs and intellectual property may not be reproduced for commercial purposes without permission.
24. LIMITATION OF LIABILITY
Nothing in these Terms is intended to exclude or limit any rights that a consumer has under applicable South African law.
To the extent permitted by law, Timeline Travel will not be responsible for loss, damage, delay or additional costs caused directly by an independent supplier or by circumstances outside Timeline Travel’s reasonable control.
Where Timeline Travel itself has failed to provide a service with the standard required by applicable law, any rights or remedies available to the traveller under applicable legislation remain unaffected.
25. THIRD-PARTY SUPPLIER TERMS
Airlines, hotels, lodges, cruise lines, tour operators, activity providers and other suppliers may have their own terms and conditions.
By booking a service provided by a third party, travellers agree to comply with the relevant supplier’s applicable conditions.
Where appropriate, Timeline Travel can assist clients in obtaining or understanding the relevant supplier information.
26. PROMOTIONS & SPECIAL OFFERS
Special offers and promotional prices may:
be available for limited periods;
apply only to selected travel dates;
have limited availability;
require full or partial advance payment; or
have different amendment and cancellation conditions.
Specific promotional terms will be communicated with the applicable offer.
27. GROUP BOOKINGS
Group bookings may be subject to additional conditions relating to:
minimum traveller numbers;
deposits;
rooming lists;
passenger names;
payment schedules;
complimentary places;
cancellations; and
changes in group size.
Any additional group conditions will be communicated before confirmation.
28. AUTHORITY TO MAKE A BOOKING
The person making a booking on behalf of other travellers confirms that they have authority to provide the required information and make arrangements on behalf of those travellers.
The lead traveller is responsible for communicating relevant booking information and these Terms & Conditions to all members of the travelling party.
29. GOVERNING LAW
These Terms & Conditions are governed by the laws of the Republic of South Africa.
Nothing in these Terms is intended to remove, restrict or replace any consumer rights that cannot lawfully be excluded.
30. CHANGES TO THESE TERMS
Timeline Travel may update these Terms & Conditions from time to time to reflect changes in our services, supplier requirements or applicable law.
The version applicable to a confirmed booking will generally be the version in effect when the booking is made, subject to any mandatory legal requirements.
